Effective Date: 1st of November 2025

This Refund Policy forms part of the terms and conditions governing all Consultancy and Visa Application Services provided by Filii Magna Limited (“Filii Magna” or “the Company”). It sets out the basis and circumstances under which Clients may request refunds and the applicable administrative deductions. By engaging the services of Filii Magna, the Client acknowledges and agrees to be bound by the terms contained herein.

  1. Full Refund Eligibility

1.1     A Client shall be entitled to a full refund of the Consultancy Fees paid, provided that:

  • The request for refund is made within twenty-four (24) hours of making complete payment;
  • No visa fees have been paid to the relevant Consulate or Embassy; and
  • The visa application process has not commenced.

1.2    In all such cases, a five percent (5%) administrative charge shall be deducted from the total Consultancy Fee before any refund is effected.

  1. Refund Requests After Commencement of Process (Post Two Working Days)

2.1    Where Filii Magna has commenced the visa application process and a refund is requested after two (2) working days, the Client shall forfeit entitlement to a cash refund.

2.2   The Client shall, however, be entitled to apply the value of the existing application towards another visa application for the same applicant, subject to the following conditions:

  • A twenty-five percent (25%) administrative charge shall be deducted from the Consultancy Fee of the current application; and
  • The corresponding credit note shall reflect the remaining balance less the aforesaid administrative charge.

2.3    Upon transfer of such application to a new process, the Client shall be liable to pay an additional twenty-five percent (25%) of the Consultancy Fee applicable to the new application being processed.

  1. Refunds for Applications Beyond Fifty Percent (50%) Completion

3.1    Where Filii Magna has commenced the visa application process and same has reached beyond fifty percent (50%) completion, any cash refund shall be deemed forfeited.

3.2    Only a transfer to another application for the same applicant shall be permissible, subject to the following:

  • A minimum deduction of fifty percent (50%) of the Consultancy Fee from the current application; and
  • The value of the credit note to be issued shall be less the applicable administrative charge.

3.3    At the point of transfer to another application, a minimum of fifty percent (50%) of the Consultancy Fee shall be payable for the new application.

3.4   Determination of the application completion stage and applicable deductions shall be made solely by Filii Magna, upon advice of the assigned Client Officer, based on the documented progress of the application.

  1. Postponement of Application Close to Appointment Date (Beyond Seventy Percent (70%) Completion)

4.1     Where the visa application process has attained beyond seventy percent (70%) completion, and the Client requests postponement or deferral of the application within one (1) week of the scheduled consulate or visa appointment date, the following shall apply:

  • A minimum of sixty-five percent (65%) of the Consultancy Fee shall be deducted from the current application; and
  • The credit note transferable to another application shall be less the applicable administrative charge.
  1. Refund Requests After Five (5) Working Days

5.1    Where a refund request is made after five (5) working days from the commencement of the visa application process, whether or not visa fees have been paid to the receiving consulate office, the provisions of Clause 4 above shall mutatis mutandis apply.

  1. Refund on Visa Fees (Where Applicable)

6.1    In the event that visa fees have not been paid to the receiving consulate office and the Client requests a refund thereof, such refund shall be processed less a ten percent (10%) administrative deduction.

6.2 Where the visa fees have already been paid to the consulate, such payment shall be deemed non-refundable, as same falls outside the control of Filii Magna.

  1. Processing of Approved Refunds

7.1    Subject to compliance with the provisions of this Policy, all approved refunds shall be processed and disbursed within ten (10) to fifteen (15) working days from the date of written approval.

7.2   All refunds shall be made net of the applicable administrative and processing charges as stipulated herein.

  1. General Provisions

8.1    All refund requests must be submitted in writing and acknowledged in writing by Filii Magna before processing shall commence.

8.2      Filii Magna reserves the exclusive right to determine:

  • The commencement and completion stage of any application;
  • The applicable administrative deductions; and
  • The refund value or credit note amount due to any Client, in accordance with this Policy.

8.3   This Policy may be reviewed or amended by Filii Magna from time to time without prior notice, and such amendments shall take effect immediately upon publication or communication to Clients.

8.4    Nothing in this Policy shall be construed to derogate from Filii Magna’s general terms of engagement or any other contractual obligations binding on the Client.
